How do I apply for a project request?

Request overview

To apply for a project request, please visit the request overview on your dashboard. Select the desired project request and click on the blue button “Apply to This Inquiry”.

Automatic quality check

Our system automatically checks various quality criteria. You will receive a message if certain criteria are not met. As soon as you meet all the requirements for the respective project request, you can apply for it.

Project data

Enter your project references that thematically match the respective project request and prove your expertise in the requested area.


Contact details

Enter the contact details of the person in your company who is responsible for this project request and will take over the coordination with the client.

Transparent bidding process

In this step, you submit your bid for the respective project request. This is the amount you are willing to pay to receive the client's contact details.

Here you can also see which other providers have applied for the respective project request.

During the application phase, you can increase your bid at any time and view the bids of other providers who have also applied for the request.

Quality check by experts

After the application deadline has expired, our team of experts will review the information provided by the 3 to 5 highest bidders (depending on the shortlist size of the project request). This review includes an analysis of the websites as well as the Feedbax profiles, reviews, project references, case studies and other information provided by the providers.

Suppliers who successfully pass this check are nominated for the shortlist and asked to upload a detailed offer document for the project request within two working days (weekends do not count as working days).

If a shortlist candidate does not pass the manual check, the supplier will be disqualified and the next highest-bidding supplier will move up. Their application will then also be checked manually.

The offer document

In your proposal document, there are a few key points that should be emphasized in your cover letter to convey your expertise and understanding of the project to the client.

Transparent cost breakdown

Start by clearly defining your hourly rates and cost calculation. These should be based on the expertise you bring to the project and the complexity of the project. Make sure the client understands that the hourly rates are fair and in line with the market.

If you are not yet able to provide a detailed cost calculation based on the current project requirements, your offer should make it clear how you will proceed to arrive at a precise estimate. Explain that you will conduct an intensive requirements analysis at the beginning of the project to gather all the necessary information. This process is essential to developing a well-founded and reliable cost estimate. Make it clear to the client that this approach will enable you to present an accurate and transparent breakdown of costs and effort as the project progresses.

Experience and expertise

Highlight your team's experience and skills in similar projects. Show through references, case studies or examples from previous projects that you have the necessary knowledge and skills to successfully implement the project.

Methodology and approach

Describe your approach to completing the project. Explain which methods, techniques and tools you will use, what the planned project phases and milestones look like, and what strategies you will follow for project management and communication.

Willingness to collaborate

Emphasize your openness to feedback and adjustments during the project. Show that you are willing to work closely with the client and finalize the requirements together.

Maintenance and support

Explain how you plan to provide support after completion. This could include providing regular updates, fixing bugs and making adjustments, and providing customer support.

Your cover letter should reflect your expertise and experience, as well as your enthusiasm for the project and your willingness to find innovative and creative solutions. Make sure that the cover letter is clear and concise, but includes enough detail to give the client a good understanding of what you have to offer and how you plan to make the project a success.

Re-evaluation by experts

Each uploaded proposal document is thoroughly checked by our team of experts. The costs, project references and other details provided in the document are evaluated. If necessary, our team will ask questions or request adjustments.

If a shortlisted candidate does not pass the manual review of the offer document, the provider is disqualified and the next highest bidder moves up. This bidder's document is then also manually checked.

Obtaining the client's contact details

As soon as all the bid documents of the shortlisted candidates have passed the manual quality check, the project request is closed. The client then receives an overview of the selected providers, including the information entered in the application form, but excluding the bid document.

The selected providers receive the following client data:

  • Company name

  • Website

  • Contact person

  • E-mail address of the contact person

  • Phone number of the contact person

In order to encourage direct communication between the providers and the client, we do not transmit the offer documents. Instead, the selected providers should send the offer document to the client themselves and present their company in the process.

Since the client's contact details are now available, we withdraw from the process. From this point on, the shortlisted providers pitch directly against each other and can shape the further process independently.
